Job Description

Position Overview

We are seeking a detail-oriented Accounts Payable Specialist to support daily AP operations, including purchase order processing, invoice management, and vendor relations. This role plays a key part in ensuring accurate and timely financial transactions while maintaining strong internal and external partnerships.

Key Responsibilities

  • Create and manage purchase orders (POs) in alignment with company policies
  • Process high-volume vendor invoices, ensuring proper coding and documentation
  • Perform 3-way matching (PO, invoice, receipt) to validate transactions
  • Manage and process employee expense reports, ensuring compliance with company guidelines
  • Execute payment processing, including check runs, ACH, and wires (if applicable)
  • Maintain accurate and up-to-date vendor records
  • Serve as a point of contact for vendor inquiries, resolving discrepancies and payment issues
  • Support month-end close by ensuring AP transactions are recorded accurately and on time
  • Assist with process improvements and maintaining internal controls

Qualifications

  • 2+ years of Accounts Payable experience
  • Hands-on experience with:Purchase order processing
  • Invoice management
  • 3-way matching
  • Expense reporting
  • Strong understanding of AP workflows and best practices
  • Proficiency in Excel (basic formulas, sorting/filtering; pivots a plus)
  • High attention to detail and accuracy
  • Strong organizational and time management skills
  • Ability to work independently and meet deadlines

Preferred Qualifications

  • Experience with ERP/accounting systems (e.g., SAP, Oracle, NetSuite, etc.)
  • Background in high-volume transaction environments
  • Strong communication skills for vendor and internal coordination
